Email Filtering

Computing Services Information Document - PC/Sun/Unix

Email filtering is the process of sorting incoming email into separate folders according to conditions such as subject, sender, etc. Email can also be thrown away so that you can avoid "junk mail". Email filtering is available in Mozilla Mail and also with webspamassassin. Filtering should not be used to throw away email from mailing lists or listservs. To avoid email from these services you should properly unsubscribe yourself.

Mail filtering with Mozilla
Netscape can be set up to filter mail into specific folders as well as discard certain messages into the trash can.

Mozilla 1.7 (SUNS):
To set up Mozilla filtering start by opening the email client via the button in the lower left hand corner or using the Window menu.  Click on your account name in the panel on the left.  It will be in bold letters with email folders underneath.  In the panel on the right there will be an option to "Create message filters," click on these words to open up the Message Filters dialogue box.

Setting up a filter:

  1. Start by clicking on the "New..." button to create a new filter.
  2. A new box should appear called Filter Rules
  3. Enter a name for your filter.
  4. Under the title "For incoming messages that:" you will see the what conditions are being used by this filter.  Multiple conditions may be created to filter your email by selecting the location to search (e.g. sender, body, subject, date, status, etc.) and then the condition for searching this location (e.g. contains, doesn't contain, etc.) and then the keyword to look for when searching. Selecting More allows you to add more criteria to your filtering. If multiple criteria are used, you may select either "Match all of the following" or "Match any of the following" if you want the filter to only work if all of your conditions are met, or if any are met, respectively.
  5. Under "Preform these actions:" you select how you want the filter to handle the email. You can have it move the mail to a specific folder, delete it, mark it as read, ignore it, etc.
  6. Once you are satisfied with your filter, click OK
  7. If you desire, more filters can be added and if "Log filter use" is selected you can view the action log created by Netscape Mail's filter.
